In these Terms of Use, “we, our, us” refers to visanow.vn, owned by Oriental Trade Services Joint Stock Company, a legitimate business registered in Vietnam.

By using visanow.vn’s services, you agree to follow these terms and all applicable laws. If you disagree with these terms or are unhappy with the site, please contact us using the email at the end of this document. Not following these terms may result in legal action or termination of your access to this site. Visanow.vn may change these terms without notice.

Our services

Vietnam Visa on Arrival service

1. Visa on Arrival (VOA)

Visa on Arrival is a Vietnam Visa issued by the Vietnam Immigration Department when you arrive at Vietnam International Airports.

The process has 3 simple steps:

Step 1. Apply for the Visa Approval Letter online through visanow.vn, pay the Service Fee, and wait for us to process your Visa Approval Letter.

Step 2. You will receive the Visa Approval Letter by email. We recommend saving both a digital copy and a printed copy.

Step 3. At a Vietnam international airport, present yours:

• Visa Approval Letter
• Passport (valid for at least 6 months)
• Completed the Vietnam Visa Application form
• Two passport-sized photos (4×6 cm)
• Stamping Fee payment in cash (USD preferred)

Important: Visa on Arrival only works when entering Vietnam through international airports. By applying through visanow.vn, you agree to enter Vietnam via an international airport and follow these 3 steps. The information you provide must be true, correct, and legal according to Vietnam Immigration Laws.

2. Visa Approval Letter (AL)

The Visa Approval Letter is an official document from the Vietnam Immigration Department that allows you to get a Vietnam Visa when you arrive at Vietnam International Airport. You cannot get a Visa On Arrival without this letter.

Note:

• You must show the Approval Letter at your departure airport before flying to Vietnam.
• The Vietnam Immigration Department may change the visa approval letter format (including shortening names longer than 30 letters or changing arrival airports). This is legal and acceptable. If you have any problems, contact us immediately at 094 367 6226.

3. Processing time

After we receive your payment, visanow.vn’s system will send a payment confirmation email, followed by a “Processing Notification” email when we start working on your application.

Processing options:

• Normal processing: 2 working days
• Urgent processing: 1 working day
• Super urgent processing: 2 or 4 working hours

Note:

• Our business hours are 8:30 am to 5:30 pm (GMT+7) Monday to Friday, and 8:30 am to 12:00 pm (GMT+7) on Saturday.
• The Vietnam Immigration Department works from 8:00 am to 10:30 am and from 1:30 pm to 3:00 pm (GMT+7) Monday to Friday.
• Processing time is affected by the Vietnam National Public Holidays.
• The Vietnam Immigration Department may delay or deny visa processing without explanation. Visanow.vn is not responsible for any delays, cancellations, or losses due to denial or delay. No fees will be refunded for delays or denials.
• In special cases, we may need additional documents, and processing may take longer. We will notify you by email if this happens.

4. Fees

By submitting your Visa Application to visanow.vn, you agree to pay all fees for Vietnam Visa On Arrival, including the Service fee and Stamping fee.

Service fee:

• Charged by visanow.vn for getting your Approval Letter from the Vietnam Immigration Department
• It must be paid in full before we start processing your application
• Successful payment will be confirmed by a “Notification of Successful Payment” email
• We are not responsible for problems due to unsuccessful payments
• Any extra charges from your bank during payment are your responsibility
• All fees are quoted in US Dollars (USD)

Stamping fee:

• Charged by the Vietnam Immigration Department to complete your Visa On Arrival and stamp your passport
• Paid in cash (USD recommended) directly to Immigration at the Vietnam airport when you arrive
• Visanow.vn is not responsible for extra costs from using other currencies
• You must pay additional fees if you need to change/correct any personal information in your Visa Approval Letter upon arrival

5. Cancellation & refund policy

Visanow.vn may decline to process your visa application for various reasons (incomplete application, insufficient time, unusual circumstances). In such cases, you will receive a full refund of the Service Fee.

Full refund situations:

• If you cancel before paying the service fee: No charge or penalty, even if you don’t inform us.
• If you cancel before we start processing: No charge or penalty if you send a written cancellation request (email/letter) before our “Processing Notification” email is sent. You’ll receive a full refund.

No refund situations:

• If you cancel after receiving the “Processing Notification” email: No refund, and the service will be completed automatically.
• After your Visa Approval Letter is approved and delivered: No refund.

Important information:

• If you don’t receive your Visa Approval Letter on time (as confirmed by us): Contact us immediately at nam@visanow.vn or 094 367 6226. Not doing so will result in no refund.
• We are not responsible for losses caused by technical errors, wrong email addresses, or information you provided.
• No cancellation or refund if you decline to accept a Visa Approval Letter with incorrect details caused by your mistakes. We strongly recommend checking your Visa Approval Letter against your passport information immediately upon receipt and before your flight.
• No refund if the visa approval letter is legal, but immigration authorities deny your entry. Entry involves a secondary review where officials check your travel purpose and history. We’ll help if your entry is denied, but we cannot guarantee entry approval.
• Full service fee refund if the Vietnam Immigration Department declines your Visa application, unless it’s due to your fault (not informing us of any conviction by Immigration).

Our mistake policy: If visanow.vn make a mistake in your Approval Letter and you inform us at least 1 working day before arrival, we will:

• Get a new Approval Letter with your original details at no extra cost
• Refund 100% of your Service Fee
• Provide a free One Month Single Entry Vietnam Visa-On-Arrival for one person on your next application OR a free Transport Transfer on your departure

No cancellation or refund if you change your trip details (routines, duration, arrival/departure dates, entry method), making the issued Visa Approval Letter no longer valid. We suggest applying for a new visa with a new Service Fee.

Refund processing: Refunds are processed every Thursday. If it’s a public holiday, the refund will be made on the next working day. It may take 7-10 working days to receive your money, depending on your bank. Any fees charged by your bank for the refund are your responsibility. Visanow.vn covers the fees charged by our bank for the refund.

Airport services

1. Arrival services

Our arrival services help you complete entry or connection procedures at Vietnam airports quickly and easily. They include an escort service to your destination in the city center in a private car with an English-speaking driver.

Benefits:

• Skip the long lines at immigration
• Get assistance with visa stamping
• Travel comfortably to your hotel
• Receive local information and advice from your driver

2. Departure services

These services ensure a great experience during your final moments in Vietnam. They include transportation to the airport on time (departure car service) and assistance with security procedures by our staff (departure fast track service).

Benefits:

• Timely pickup from your hotel
• Assistance with check-in procedures
• Help with tax refund process (if applicable)
• Priority lane access at security

3. Cancellation & refund policy

• If you cancel before payment: No charge or penalty, even if you don’t inform us.
• If you cancel after payment with written notice at least 72 working hours before your landing time: Full refund without charge or penalty.
• If you cancel within 72 working hours before landing: No refund for any reason.
• If you change details after payment with written notice at least 36 working hours before landing: We’ll adjust the service without penalty or extra charges.
• If you fail to request changes within the required timeframe, causing service delivery failure: No refund.
• Within 36 working hours before landing, we don’t accept changes for personal reasons.
• For flight schedule changes due to external factors (natural disasters, courier delays), inform us immediately and no later than 6 hours before your new landing time at 0943 67 62 26. If you don’t contact us and this leads to service failure: No refund.
• On arrival, if you can’t receive the service and don’t call our hotline within 2 hours of landing, or don’t follow our instructions: No refund.

Full refund situations:

• You can’t find our representative at the airport even though you called our hotline and followed instructions.
• You get no answer or help when contacting our hotline within 2 hours of landing, when you can’t find our representative.

In addition, we’ll provide a free Fast Track service for one person on your next application, or a free Airport Transfer service on your departure.

Refunds are processed every Thursday. If it’s a public holiday, the refund will be made on the next working day. It may take 7-10 working days to receive your money, depending on your bank. Any fees charged by your bank for the refund are your responsibility. Visanow.vn covers the fees charged by our bank for the refund.

Vietnam e-visa

Vietnam e-visa is an electronic visa issued online by the Vietnam Immigration Department. It’s valid for up to 90 days, single entry, and works for various purposes, including tourism and business. As an eligible traveler, you can apply yourself or use our e-visa service for guaranteed and faster processing.

1. What we do

We will:

• Complete the Vietnam e-visa application form with the Vietnam Immigration Department for you
• Speed up your e-visa processing
• Track and download the e-visa letter and send it to you with detailed entry instructions

• Get expert assistance throughout the process
• Receive your e-visa faster and more reliably
• Get step-by-step guidance for using your e-visa

2. Processing time

We offer 3 processing types:

• Normal: 5-7 working days
• Urgent: 4, 3, or 2 working days
• Emergency support: case by case

Note:

• Working time is based on Vietnam Time (GMT+7).
• The following rules apply to processing time:
  • For 5-7 days processing: If we receive your payment and information before 3:00 pm on a working day, processing starts immediately, and your e-visa will be ready by the end of the 7th working day at the latest. Otherwise, it starts the next working day.
  • For 4 days processing: If we receive your payment and information before 2:00 pm on a working day, processing starts immediately, and your e-visa will be ready by the end of the 4th working day at the latest. Otherwise, it starts the next working day.
  • For 3 days processing: If we receive your payment and information before 2:00 pm on a working day, processing starts immediately, and your e-visa will be ready by the end of the 3rd working day at the latest. Otherwise, it starts the next working day.
  • For 2 days processing: If we receive your payment and information before 11:00 am on a working day, processing starts immediately, and your e-visa will be ready by the end of the 2nd working day at the latest. Otherwise, it starts the next working day.
  • For urgent processing: We’ll confirm the completion time case by case.

Important note: Processing only begins when we receive full payment, all required information, and qualified photos (portrait and passport page). If anything is missing, your application will be on hold (Pending Status), and we’ll contact you for details. Please pay attention to all notifications and follow our staff’s guidelines.

3. Pending Status

Your visa application will be put on hold in these cases:

Poor-quality submitted images (Portrait Photo or Passport Photo) If your photos don’t meet Vietnam Immigration Department standards:

• Our staff will contact you (at least three attempts) for new qualified photos. Follow instructions and submit new images within the given timeframe. Otherwise, you may need to upgrade your service and pay extra fees to receive your visa as planned.
• If we don’t hear back after at least three contact attempts, your application will be handled as follows:
  • Within 3 months (from our last call):
    • If you request cancellation, you’ll get a 100% refund. Send your request to nam@visanow.vn with your order ID.
    • If you provide qualified photos, we’ll continue with your original service.
  • After 3 months (from our last call): Your order will be canceled with no refund or visa support. The service will be considered complete.

Additional Information Requested by Vietnam Immigration Sometimes, Vietnam Immigration may need more details for your application (like exit stamps from previous Vietnam visits). Our staff will contact you for this information.

• If we don’t hear back after at least three contact attempts, your application will be handled as follows:
  • Within 3 months (from our last call): We can continue helping with submission and follow up on your application.
  • After 3 months (from our last call): We’ll send you the visa application details (registration code and email) so you can submit information yourself, and our service will be considered complete.
  • After three submission attempts: If your visa isn’t issued after three tries, we’ll send you the application details for you to continue independently, and our service will be considered complete.

Disclaimer: We’re not responsible for visa processing delays or consequences if you don’t provide required information within the specified time.

4. Fees

By submitting your e-visa application to visanow.vn, you agree to pay all fees for this service, including the service fee and government fee. All fees are quoted in US Dollars (USD).

5. Cancellation & refund policy

Full refund situations:

• We decline to process your e-visa application (incomplete application, insufficient time, unusual circumstances).
• You canceled before payment.
• You cancel before processing starts (before “Processing notification” email) with an official cancellation request to nam@visanow.vn from your registered email with your order ID.
• You cancel an application with poor-quality photos (Pending status) within 3 months of our last contact attempt, from your registered email with your order ID.

No refund situations:

• You cancel before “Processing Notification” but use a different email or don’t include your order ID, and confirm after receiving the “Processing Notification.”
• You cancel after we submit your application to Vietnam Immigration.
• Your e-visa has been issued and delivered to your registered email.
• The e-visa is legal, but immigration denies entry (officials assess travel purpose and history during secondary review).
• You provided an incorrect email and can’t receive the e-visa letter on time.
• Your processing is delayed because:
  • You provided unqualified photos not accepted by Immigration.
  • The Vietnam eVisa website is down.
  • Immigration requires additional information.
• Your application is rejected because:
  • You’re blacklisted by Vietnam Immigration and didn’t inform us.
  • You provided incorrect information (like stay address).
• Your visa has incorrect information due to our fault, but you didn’t inform us within 18 hours of receipt.

If we make a mistake on your e-visa and you inform us within 18 hours of receiving it, we’ll get a new visa with your original details at no extra cost.

Refunds are processed on Thursdays during working hours. On public holidays, refunds will be made the next working day. It may take 7-10 working days to receive your money, depending on your bank. Bank fees for refunds are your responsibility. Visanow.vn covers our bank’s refund fees.

Vietnam eSIM

Vietnam eSIM (embedded SIM) is a digital product that keeps tourists connected in Vietnam. The eSIM is provided by visanow.vn comes from local operators with a phone number and is valid for 5-30 days.

Benefits:

• Instant connectivity upon arrival in Vietnam
• No need to find a local SIM card shop
• Various data packages to suit your needs
• Local phone number for convenience

1. Processing time

Normally, the eSIM QR code will be delivered to your registered email within 5 minutes of purchase. If you don’t receive it, contact us at nam@visanow.vn for support.

2. Cancellation & refund policy:

Not accepted cancellation/refund situations:

• You don’t see the eSIM in your primary inbox, but don’t contact us (it may be spam or promotions).
• You receive the eSIM QR code via email or any channel (digital products can’t be canceled once delivered).
• The QR code has been scanned.
• The eSIM had an error that we fixed and told you about.

For service problems, we support refunds or exchanges only when submitted and verified by our Support Team. They’ll check if the problem is our responsibility and process your refund if applicable. Cancellation refund requests after returning home without prior confirmation won’t be processed.

To cancel and request a refund, contact nam@visanow.vn with your order number, product name, and reason for the refund. Refunds will be made using your original payment method and may take up to 10 business days.

Payment

For all services, we accept these three payment methods:

Method 1. Pay by Credit Card (VISA, MasterCard, American Express, JCB, Diners Club,…) through www.OnePay.vn

Method 2. Bank transfer

You can pay directly to our bank account:

The text should contain only “your name”; please don’t mention “payment,” “visa service,” or other details.

After making your payment, please send us your payment receipt so we can track and process your application.

Method 3. Pay in cash at our office

Please note: Any extra charges from your bank during payment are your responsibility. Visanow.vn is not responsible for these charges.

Disclaimer

For reasons beyond visanow.vn’s control, we can’t guarantee you’ll receive all confirmation and notification emails. These reasons include email failure, wrong email address, emails going to spam, etc. If you don’t receive any information about your approval letter, contact our Support Team at least 2 days before your arrival. Visanow.vn is not responsible for any loss, damage, or refund requests in such cases.

You are responsible for checking your approval letter. For any mistakes, contact us immediately for correction. If we make an error, we’ll process a new approval letter for free. If you made the error, you must pay the full fee for a new approval letter. Getting a new approval letter takes 1-2 working days, so check your approval letter carefully as soon as you receive it.

Vietnam visa approval letters usually include the names and details of other applicants. You may find your name, passport number, and birth date in the same letter as other people. For a private letter, check that option when booking. Visanow.vn is not responsible for privacy issues from group approval letters.

Privacy

Please read our Privacy Statement, which you agree to when using this site. The Privacy Statement is part of this agreement.

Communications: By using this site and our services, you give visanow.vn permission to contact you by email or phone for all purposes, including marketing.

Security

You are responsible for keeping your User ID (login) and password on visanow.vn confidential. You are responsible for all usage of your User ID, whether authorized by you or not. You agree to notify us immediately of unauthorized usage. Please read our Privacy Statement about submitted and distributed information.

Entire agreement

This agreement and the Privacy Statement form the complete agreement between you and visanow.vn and replace any prior agreements about visanow.vn. Failure to enforce any provision doesn’t waive the right to enforce it later. No changes by you are valid unless in writing and signed by both parties. This agreement is governed by Vietnamese law.
